Best law firm intake software in 2026: eight tools compared on what they actually do.

Intake software, AI intake agents and 24/7 legal answering services all promise more signed cases, but they do different jobs. This guide compares eight of them on price, call answering, web-lead response, conflict checks, e-sign and Clio sync, using each vendor’s own site. TheBigBot is one of the eight, and we say where the others win.

Our methodology, and our bias.

TheBigBot is our own product, and it is one of the eight tools on this page. Read the rest knowing that. What we can offer instead of neutrality is accuracy: every other tool is described from its own website, and the cases where it is the better buy are named.

Each tool is compared on the six things that decide whether a prospective client becomes a signed case: who answers a call at 9pm, how fast a web lead gets a reply, whether conflicts are checked before the consult, whether intake forms and e-signature are built in, whether it connects to Clio, and what it costs. Where a vendor publishes a price, a seat minimum or a per-unit fee, it is in the table. Where it does not, we say quote-based rather than repeat an estimate from a third-party site.

Everything was checked on each vendor’s own pricing, product or integrations page on 15 September 2026. One exception: Clio’s pricing page blocked our automated check that day, so the Clio plan figures come from Clio’s own pages as shown in search results. Confirm them on clio.com before you buy. If anything here is wrong, tell us and we will correct it, including where the correction favours a competitor.

It depends on who takes your calls today and where your matters live. Where each tool wins, where it falls short, and who should pick it.

Clio Grow

Clio plans from $49 per user · Grow in Elite, add-on on Core and Signature · native Clio

Wins: if your matters already live in Clio Manage, nothing else here keeps the lead, the conflict check and the new matter in one system. On 20 August 2026 Clio announced Grow AI: phone, email and website chat agents that capture details, check the lead against your conflict rules and schedule qualified leads into a consultation. Clio says nearly half the leads captured with it came outside normal business hours. Falls short: Grow AI is new, so there is little track record yet. The intake form builder cannot hold an e-signature, so signatures go on generated documents instead, and Grow is only bundled on the top plan. Lawmatics

Wins: a full intake and marketing CRM rather than an add-on. Automated conflict checks search names, phone numbers, dates of birth and addresses as soon as intake starts, and automations can approve, deny or flag the lead. Custom forms, e-signature, SMS and email workflows are built in, and converted leads sync matter data to Clio, MyCase or Filevine. Falls short: no published price, a three-user minimum that rules out most solo attorneys, and nobody answers the phone: live answering comes from a partner such as Smith.ai. AI lead scoring is a separate credit-based add-on. Pick it if you have three or more users and intake staff, and want automation deeper than your practice management system offers. TheBigBot

Wins: the AI answers every call and web lead in under a minute, day or night, captures the matter details, runs a conflict pre-screen against your existing client and matter list, and books the consultation on the attorney’s calendar. It never gives legal advice or quotes a fee you have not published, and the intake scripts are yours to review and approve. Plans also include a firm website, review requests and campaigns to past clients. Falls short: it is not practice management software and does not replace one. The conflict step is a pre-screen: it flags overlaps, and the clearance decision stays with your firm. E-signature is not listed for intake, Clio sync is native or through Zapier or Make depending on your setup, and AI calls and SMS are billed as usage on top of the plan. Lead Docket (Filevine)

Wins: built for firms that buy leads at volume. AI assesses each lead’s viability as soon as it opens and summarises the key facts, automated messaging handles follow-up, and e-signature and payment collection are built in. Its integrations page lists call tracking such as CallRail and answering services including Smith.AI, Alert Communications and Answering Legal, and data transfers natively to Filevine. Falls short: no published price, it does not answer calls itself, Clio is not on its integrations page, and its site does not describe a conflict check. Law Ruler

Wins: practice-area coverage aimed at high-volume work, including personal injury, mass tort, consumer protection, Social Security disability, immigration and employment. Logic-based intake forms and one-click e-signature come on every tier, Enterprise adds a built-in softphone, and annual prepay takes 15% off. Falls short: no published price. The Pro tier caps automations at three and leaves out email marketing, conflict checking is not on its pricing page, and Clio is not among the integrations it lists. Wins: the simplest way to get every call answered without changing your software. Live agents work 24/7 on month-to-month plans with a 30-day money-back guarantee, run practice-specific legal intake and conflict checks, and push the result into Clio, MyCase or Lawmatics. An AI receptionist plan starts at $150 a month. Falls short: the bill scales with volume. The live Starter plan is $300 for 30 calls with $11.50 per call over, conflict checks add $0.50 per call and extended intake $1.50, and web chat is a separate plan. Alert Communications

It screens callers against your criteria, cross-references opposing parties before a file is created, sends the retainer for e-signature and follows up, and delivers intake to Clio Grow, Filevine, Lead Docket or CASEpeer. It also runs a separate mass tort service. Falls short: it is a service, not software you own, so you still need a CRM behind it. Per-minute billing means long PI intake calls and advertising spikes move the bill. Pick it if you want a person on every call and already have somewhere for the leads to land. Gideon

Wins: an AI agent built for plaintiff law firms. It answers calls day or night, qualifies the lead in a natural conversation, and goes past intake into records retrieval from medical, insurance and police sources and case status updates. Falls short: no price on its site, integrations described only as your “CRM/CMS” with Clio not named, and no mention of conflict checks or e-signature. Outside plaintiff work it is not built for you. The published numbers: Smith.ai’s live receptionists are $300 a month for 30 calls, $810 for 90 and $2,100 for 300, with overage of $8.50 to $11.50 a call, and its AI receptionist is $150 a month on the Pro plan. Alert Communications charges $2.50 a minute against a $100 monthly floor. Clio lists plans from $49 per user a month. TheBigBot is $197 or $497 a month flat with a $499 one-time setup. Lawmatics, Law Ruler, Lead Docket and Gideon publish no price. Intake software vs a legal answering service

They solve different halves of the same problem.

Intake software (Lawmatics, Law Ruler, Lead Docket, Clio Grow) organises what happens after a lead arrives: forms, conflict checks, e-signature, follow-up and the hand-off to your case management system. It assumes someone at your firm picks up the phone.

A legal answering service (Smith.ai, Alert Communications) makes sure someone does pick up, 24/7, and passes the intake into your software. It does not run your follow-up or your pipeline, and the bill rises with call volume.

AI intake agents (Gideon, Clio’s Grow AI, TheBigBot) sit between the two: software that answers the call or chat itself and books the consult. Which one you need starts with how many callers reach nobody today. Our look at why so many law firms are unreachable covers what happens to those calls.

Why some familiar names are not on this list.

Captorra, CASEpeer, Litify and CaseGen are left out because we could not confirm their pricing or intake features on their own sites when we checked. MyCase and Filevine are practice management platforms first; Filevine’s intake product, Lead Docket, is on the list. Absence here is not a verdict. If one of them fits your firm, put it through the checklist below.

General-purpose CRMs are left out too. They can be made to handle intake, but you would build the conflict step, the practice-area questions and the case management sync yourself, or pay someone to. A tool that already knows what a retainer and an opposing party are will usually cost less in the end.

What to check before you buy (checklist)

Nine questions for every demo call, including ours.

1. Who answers a call at 9pm on a Saturday? Software, a person, or voicemail. Ask to hear a recording of a real after-hours intake call.

2. How long until a web lead gets a reply? Submit a test form during the demo and time the response.

3. Is the conflict step a full check or a pre-screen? Ask what it searches (names, opposing parties, addresses) and who makes the clearance decision.

4. Where do intake forms and e-signature live? Built in, a separate e-sign tool, or on generated documents only.

5. How does it connect to your case management system? Native, Zapier, or not at all, and which fields sync when a lead signs.

6. What is the total monthly bill at your volume? Seat minimums, per-call or per-minute rates, add-ons such as conflict checks, and setup fees. Ask for per-unit rates in writing; ours are published.

7. What does the AI say, and who approved it? Ask whether it identifies itself as an assistant and how it avoids legal advice and fee quotes. Then read what bar guidance says about AI intake.

8. Where is prospective-client data stored, and who can see it? Ask about encryption, access controls and retention, and apply the same policy you use in your case management system.

9. What happens to your data if you leave? Ask for the export format before you sign, not after.

Do solo attorneys need intake software?

If a missed call is a missed case, yes, but the right tool depends on who answers. A solo attorney in court cannot pick up, so a tool that only organises leads does not close the gap. An answering service such as Smith.ai or an AI intake agent such as TheBigBot covers the phone. Lawmatics’ three-user minimum puts it out of reach for most solo practices.
