🚨 Emergencies

Built for the call at 11pm on a Saturday.

A patient with a cracked tooth does not leave a voicemail and wait. The AI asks what is wrong, how long it has hurt and whether there is swelling or bleeding, then follows the rule you set: book the first emergency slot, transfer the live call to the on-call dentist, or both. Either way your team gets a text with the patient's name, number and a summary before the call ends. Nothing goes to voicemail.

Where it fits

Part of the dental CRM, not a bolt-on.

The answering service is the phone side of the TheBigBot dental CRM. Every call it answers creates or updates a patient record, books through the same appointment calendar your website widget uses, triggers the recall and reminder texts, and hands the finished visit to review management so the patient is asked for a Google review. It is the same AI receptionist we run for mortgage and legal offices, trained on dental scripts. For the numbers behind after-hours calls, read why 17% of dental calls land after hours and what they are worth.

FAQ · Questions

Things dental offices ask.

Does it replace my front desk?
+
No. It answers the calls your front desk cannot: after hours, weekends, lunch, and the second line while they are on the first. During the day you choose whether it answers first, answers after a few rings, or only takes overflow. Most practices start with after-hours and overflow.
What happens when a patient calls with an emergency?
+
The AI asks about pain, swelling, bleeding and any injury, then follows your emergency rule: book the first emergency slot, transfer the live call to your on-call dentist, or both. Your team receives a text summary with the patient's number either way, and the call is recorded and transcribed in the patient's record.
Does it book into Dentrix, Eaglesoft or Open Dental?
+
It books into the TheBigBot calendar, which syncs with Google and Outlook and drives your website booking widget. Tell us which practice management system you use during onboarding and we will confirm whether it is a native integration or a bridge before you go live.
Is it HIPAA compliant?
+
Yes, with the HIPAA add-on at $297 a month. It includes encrypted infrastructure, dedicated HIPAA-compliant phone, SMS and storage routing, and a signed business associate agreement. Without the add-on the platform runs on the standard, non-HIPAA infrastructure.
Can it answer insurance questions?
+
Yes. It knows which plans you accept, what a new-patient visit costs, whether you offer a membership plan and what to bring. Full insurance verification is a separate usage fee listed on the usage fees page rather than something the receptionist does on the call.
Can patients tell they are talking to an AI?
+
It speaks naturally and most callers simply book. If a caller asks, it says it is the practice's AI assistant and offers to transfer to a person. We do not recommend, or configure, an AI that claims to be human.
What languages does it answer in?
+
English, Spanish, French and Mandarin, on the same phone number. It recognises the caller's language from the first sentence and continues in it.
What does it cost?
+
The AI receptionist is included in every TheBigBot plan, from $197 a month with no contract. Call minutes are billed at the carrier rate on the usage fees page, and the HIPAA add-on is $297 a month if you need it. There is no per-call or per-minute answering-service fee.
