A CRM for a five-person service business costs about $840 to $7,500 a year in 2026. Basic per-seat plans run $14 to $25 per user per month, sales-grade tiers run $90 to $100 per seat plus onboarding, and flat-priced platforms run $97 to $497 a month regardless of headcount. Texting, phone numbers and A2P registration are billed on top.
That range is wide because “CRM” covers three different purchases: a contact database, a sales pipeline tool, and a system that also answers the phone and sends the texts.
All prices below were checked on each vendor’s own pricing page in September 2026, in US dollars, billed annually or monthly as noted. Vendors change prices often, so confirm on the linked page before you sign.
How do CRMs charge a small business?
There are two models, and they reward different team shapes.
Per-seat pricing multiplies a monthly rate by every person who logs in. HubSpot, Salesforce, Zoho CRM and Pipedrive all work this way. It also creates a quiet habit: owners share logins or leave the front desk out of the CRM to save a seat, which is exactly where missed calls and lost leads come from.
Flat pricing charges one monthly amount for the account, with users included. GoHighLevel and TheBigBot work this way; Jobber and Housecall Pro sit in between, with plan tiers that include a set number of users and charge for more. Flat pricing costs more for a solo operator and less for a team. Most flat platforms then meter the communication itself (texts, calls, emails), so the base price is never the whole bill.
What does each CRM cost for a 5-user team over 12 months?
The table assumes five people need access. “Annual” means the lower rate for paying or committing yearly; “monthly” means no annual commitment.
| Tool and plan | Published price | 5 users × 12 months | Costs that usually get missed |
|---|---|---|---|
| HubSpot Sales Hub Starter | $20/seat/mo list; shown at $7/seat/mo on annual billing | $1,200 at list ($420 at the annual rate shown) | Texting requires Marketing Hub Professional plus the Marketing SMS add-on |
| HubSpot Sales Hub Professional | $90/seat/mo annual, $100 monthly | $6,900 annual / $7,500 monthly | Required one-time onboarding fee of $1,500 (included in the totals) |
| Salesforce Starter Suite | $25/user/mo, billed monthly or annually | $1,500 | Salesforce notes “transaction fees apply” |
| Salesforce Pro Suite | $100/user/mo, billed annually | $6,000 | Annual contract required |
| Zoho CRM Standard | $14/user/mo annual, $20 monthly | $840 annual / $1,200 monthly | Monthly billing costs 43% more per seat |
| Zoho CRM Professional | $23/user/mo annual, $35 monthly | $1,380 annual / $2,100 monthly | Same annual-vs-monthly gap |
| Pipedrive Growth | $24/seat/mo annual, $34 monthly | $1,440 annual / $2,040 monthly | LeadBooster add-on (chatbot, web forms) is $39/mo on Lite and Growth |
| Jobber Grow (5 users included) | $229/mo annual, $299 no commitment | $2,748 annual / $3,588 monthly | AI Receptionist $29/mo, Pipeline $49/mo, Marketing Suite $99/mo; extra users $29/mo each |
| Housecall Pro Essentials (5 users included) | $149/mo annual, $189 monthly | $1,788 annual / $2,268 monthly | Add-ons such as CSR AI, Voice and Campaigns are sold separately |
| GoHighLevel Starter (unlimited users) | $97/mo or $970/yr | $970 annual / $1,164 monthly | Usage fees for phone numbers, SMS, email and premium AI; A2P fees of $24.50 one-time plus $10/mo per standard campaign; you build the account yourself |
| TheBigBot CRM (unlimited users) | $97/mo, no setup fee | $1,164 | Usage fees for numbers, SMS, calls, email and AI |
| TheBigBot Authority Launch (unlimited users) | $197/mo + $499 one-time setup | $2,863 monthly / $2,469 prepaid | Usage fees; A2P brand registration $8–$88 one-time, campaign $3–$20/mo |
| TheBigBot Authority Pro (unlimited users) | $497/mo + $499 one-time setup | $6,463 monthly / $5,469 prepaid | Same usage fees as Launch |
TheBigBot’s prepaid figures use the published annual offer: pay 12 months upfront and get two months free.
One note on HubSpot Starter: the pricing page shows $7 per seat on annual billing against a $20 list price. If you are budgeting past the first term, plan with the $20 figure, because a discounted rate is the one most likely to change at renewal.
What does the math look like line by line?
Here is the arithmetic behind the table, so you can swap in your own headcount.
Per-seat tools (5 seats × 12 months):
- Zoho CRM Standard, annual: 5 × $14 × 12 = $840
- Pipedrive Growth, annual: 5 × $24 × 12 = $1,440
- Salesforce Starter Suite: 5 × $25 × 12 = $1,500
- HubSpot Sales Hub Professional, annual: (5 × $90 × 12) + $1,500 onboarding = $5,400 + $1,500 = $6,900
- Salesforce Pro Suite, annual contract: 5 × $100 × 12 = $6,000
Tiered tools with users included:
- Jobber Grow, 5 users, annual: $229 × 12 = $2,748. Add the AI Receptionist and Pipeline add-ons and it becomes ($229 + $29 + $49) × 12 = $3,684.
- Housecall Pro Essentials, 5 users, annual: $149 × 12 = $1,788
Flat tools:
- GoHighLevel Starter, monthly: $97 × 12 = $1,164
- TheBigBot CRM: $97 × 12 = $1,164
- TheBigBot Authority Launch, monthly: ($197 × 12) + $499 = $2,364 + $499 = $2,863
- TheBigBot Authority Launch, prepaid: ($197 × 10) + $499 = $2,469
Now change one number. Grow the team from 5 to 15 people. Pipedrive Growth goes from $1,440 to $4,320. HubSpot Sales Hub Professional goes from $6,900 to $17,700. Jobber’s 15-user Grow tier is $399 a month annual, or $4,788 a year. The flat plans do not move: TheBigBot Authority Launch is still $2,863 in year one, and $2,364 in every year after, because the setup fee is paid once.
That is the whole argument for flat pricing, and it is also its limit: it only pays off once you have enough people logging in. Our unlimited everything page covers what “no seat fees” includes on TheBigBot.
What do texting, phone numbers and A2P registration add?
This is the line most CRM comparisons skip, and for a service business it is not optional. If you text customers from a business number in the US, carriers require A2P 10DLC registration, and every text is metered somewhere.
Take a common five-person shop: 2 local numbers and 1,000 outbound text segments a month. At TheBigBot’s published usage rates:
- 2 local numbers × $1.15 = $2.30/mo
- 1,000 SMS segments × $0.0158 = $15.80/mo
- A2P campaign registration: $3–$20/mo, depending on use case
- Monthly usage: $21.10–$38.10, or $253–$457 a year
- Plus A2P brand registration: $8–$88 one-time
So the realistic first-year figure for TheBigBot Authority Launch in this scenario is $3,124–$3,408, and for the $97 TheBigBot CRM plan it is $1,425–$1,709. If you run the AI receptionist, calls are billed at $0.12–$0.24 per minute; 200 minutes a month adds $24–$48. You can set a monthly spending cap, and usage-billed features pause when you hit it.
For the other tools:
- GoHighLevel publishes A2P fees of $24.50 one-time for a low-volume standard brand and $10 a month for a standard campaign. Over 12 months that is $144.50 before per-message and number charges, which it bills as usage.
- HubSpot requires Marketing Hub Professional or Enterprise before you can buy the Marketing SMS add-on. Marketing Hub Professional is $800 a month on annual billing with 3 core seats, plus a required $3,000 onboarding fee, and additional core seats start at $45 a month. For five users that is ($800 × 12) + $3,000 + (2 × $45 × 12) = $13,680 in year one, before the SMS add-on itself. We break it down further in our HubSpot alternative comparison.
- Jobber includes two-way SMS on the Grow plan, which is a real advantage for field-service teams that already schedule jobs there.
When is a per-seat CRM the cheaper choice?
More often than flat-price vendors like to admit. Be honest about which of these describes you.
You work alone. One seat of Pipedrive Lite is $14 a month on annual billing, $168 a year. Zoho CRM Standard is the same. Jobber Core is $29 a month annual for one user. TheBigBot’s $97 CRM plan is $1,164 a year. If you are the only person in the account and you mainly need to track contacts and deals, a per-seat tool is the better buy.
You need a pipeline, not a phone system. If nobody on your team texts customers, answers inbound calls through the CRM, or runs follow-up sequences, you are paying a flat platform for tools you will not use.
Your team is small and stable. Here is roughly where TheBigBot’s $97 flat CRM plan becomes cheaper per month than common per-seat plans on annual billing:
| Per-seat plan | Price per seat | Flat $97/mo wins at |
|---|---|---|
| Zoho CRM Standard | $14 | 7 seats ($98) |
| Pipedrive Lite | $14 | 7 seats ($98) |
| HubSpot Sales Hub Starter (list) | $20 | 5 seats ($100) |
| Zoho CRM Professional | $23 | 5 seats ($115) |
| Pipedrive Growth | $24 | 5 seats ($120) |
| Salesforce Starter Suite | $25 | 4 seats ($100) |
| HubSpot Sales Hub Professional | $90 | 2 seats ($180, plus onboarding) |
Seat count is not the only variable. These plans do different jobs, and a cheaper tool that leaves your front desk out of the system is not cheaper if calls go unanswered.
When does a flat-priced platform win?
Flat pricing wins when three things are true: more than a handful of people touch leads, communication runs through the CRM, and you would otherwise pay for several tools.
A typical three-to-fifteen-person service business, whether that’s HVAC, a salon, a roofing crew or a clinic, has an owner, an office manager or dispatcher, and techs or staff who need to see the schedule. Per-seat pricing pushes you to leave some of them out. Flat pricing lets everyone in, which matters more than it sounds: the person who answers the phone is usually the person who decides whether a lead gets booked.
The second question is who builds it. GoHighLevel Starter at $97 a month is a strong price if you, or someone you pay, will build the workflows, register A2P, write the follow-up sequences and maintain them. Our GoHighLevel alternative page covers that tradeoff directly. TheBigBot’s $499 setup fee pays for onboarding instead: data import, website build, workflow configuration, team training, and a dedicated specialist for your first 30 days. Authority Launch goes live in 3 days and Authority Pro in 7, counted from when onboarding materials are received. Both plans are month to month with no contract.
If you want to see how that setup is configured for a service business, the small business page walks through it.
How should you compare quotes without getting surprised?
Before you sign anything, put every option through the same five questions:
- How many people will log in within 12 months? Price the team you’ll have, not the team you have today.
- Monthly or annual? Zoho charges 43% more per seat month to month; Pipedrive and Jobber show similar gaps. Only commit annually if you are confident in the tool.
- Is there a required onboarding or setup fee? HubSpot Professional tiers require one; TheBigBot’s Authority plans charge $499 once.
- What does texting cost, all in? Ask for the per-segment rate, number rental, and A2P brand and campaign fees in writing.
- Which add-ons does your workflow actually need? An AI receptionist, a pipeline view, or a forms tool listed separately can add $29 to $177 a month.
Add those five lines up for each vendor and the “cheapest CRM” is usually a different name than the one with the lowest sticker price.

Frequently asked questions
How much does a CRM cost for a small business in 2026?+
For a five-person team, expect about $840 to $7,500 a year. Basic per-seat plans such as Zoho CRM Standard ($14 per user per month, annual) and Salesforce Starter Suite ($25 per user per month) sit at the low end. Sales-grade tiers such as HubSpot Sales Hub Professional ($90 per seat per month annual, plus a $1,500 onboarding fee) sit at the high end. Texting and A2P registration are billed on top on most platforms. Prices checked September 2026.
Is per-user CRM pricing or flat pricing cheaper?+
Per-user pricing is cheaper for solo operators and very small teams. Flat pricing becomes cheaper as headcount grows: a $97 per month flat plan beats Pipedrive Growth ($24 per seat, annual) at five seats and Zoho CRM Standard ($14 per seat, annual) at seven seats. Compare the features too, because the plans do not do the same jobs.
What hidden fees should I expect from a CRM?+
The common ones are required onboarding fees (HubSpot charges $1,500 for Sales Hub Professional), higher month-to-month rates, paid add-ons such as chatbots, pipelines or AI receptionists, and metered communication: phone number rental, per-text charges, and A2P 10DLC brand and campaign registration fees for business texting in the US.
What does TheBigBot cost?+
TheBigBot CRM is $97 per month with no setup fee. Authority Launch is $197 per month and Authority Pro is $497 per month, each with a one-time $499 setup fee. All plans include unlimited contacts, users and pipelines, run month to month with no contract, and bill usage such as SMS ($0.0158 per segment) and local numbers ($1.15 per month) separately on an itemized statement. Paying 12 months upfront gets two months free.
Do I need to pay for A2P 10DLC registration to text customers?+
Yes, if you send business texts to US numbers from a standard 10-digit number. US carriers require brand and campaign registration. On TheBigBot, brand registration is $8 to $88 one-time and campaign registration is $3 to $20 per month. GoHighLevel publishes $24.50 one-time for a low-volume standard brand and $10 per month for a standard campaign.
